How to Write an ATS-Friendly Resume That Gets Shortlisted in India
What is an ATS?
An Applicant Tracking System (ATS) is software that companies and job portals use to collect, sort and filter applications. When a job gets hundreds of applicants, recruiters often look first at the resumes the ATS ranks as the best match. If the software can’t read your resume properly, or your keywords don’t match, a recruiter may never see it.
Many large companies, IT services firms, MNCs and recruitment agencies in India use ATS tools, and job portals use similar matching technology.
How an ATS reads your resume
- It parses your file, converting it into text and splitting it into sections like name, contact, experience and education.
- It matches keywords such as skills, job titles, tools and certifications against the job description.
- It ranks or filters candidates based on that match and on screening questions, like notice period or location.
So your resume has two readers: the software first, and then a human recruiter, who often spends well under a minute on the first scan.
Step-by-step: building an ATS-friendly resume
1. Use a clean, single-column layout
- No tables, columns, text boxes, graphics, skill bars or photos
- Standard fonts like Calibri, Arial or Times New Roman, 10–12 pt
- Name and contact details in the main body, not in the header or footer
- One page for freshers, and up to two pages for experienced professionals
2. Use standard section headings
ATS software looks for familiar labels. Use:
- Professional Summary
- Work Experience (or Experience)
- Skills
- Education
- Certifications
- Projects (very useful for freshers)
Avoid creative headings like “My Journey” or “What I Bring”.
3. Pick keywords from the job description
Read the job post carefully and note:
- The exact job title (e.g. “Digital Marketing Executive”)
- Hard skills and tools (e.g. “Google Ads”, “GA4”, “Excel”, “Tally Prime”, “Python”)
- Certifications (e.g. “Google Ads Certification”)
- Domain words (e.g. “B2B”, “lead generation”, “GST compliance”)
Use these words naturally in your summary, skills and experience, but only if they’re true. Keyword stuffing and invisible white text can be spotted by recruiters and may get you rejected.
4. Write achievement-based bullet points
Weak: “Responsible for social media.”
Strong: “Managed Instagram and Facebook for 3 retail clients; grew followers by 40% and generated 120+ leads in 6 months.”
Use the formula Action verb + task + measurable result.
- Use a professional email (firstname.lastname@…)
- Add your phone number with the country code, your city, and a LinkedIn URL
- Dates in a consistent format (e.g. “Jun 2023 – Present”)
- Save the file as “FirstName-LastName-Resume.docx” or a text-based PDF (not a scanned image)
6. Tailor it for every application
Keep a master resume, then adjust the summary and skills for each job. Ten tailored applications usually beat a hundred generic ones.
ATS-friendly resume format: sample structure
| Section | What to include |
| Name and contact | Full name, phone, professional email, city, LinkedIn |
| Professional Summary | 3–4 lines: role, years of experience, top skills, one key achievement |
| Skills | 8–12 relevant hard skills from the job description |
| Work Experience | Job title, company, city, dates, 3–5 achievement bullets |
| Projects | Especially for freshers: project name, tools used, result |
| Education | Degree, college, year, marks (optional if experienced) |
| Certifications | Name, issuing body, year |
Tips for freshers
- Put Education and Projects near the top
- Include internships, college projects, freelance work and certifications from free courses. See our list of free online courses for in-demand skills.
- Add a “Technical Skills” line with the specific tools you’ve used
Common ATS mistakes
- Using Canva-style templates with columns and icons
- Saving the resume as an image or scanned PDF
- Writing skills only as logos or rating bars
- Using abbreviations without the full form (write “Search Engine Optimization (SEO)”)
- Sending one generic resume everywhere
- Spelling mistakes in key skills
How to check if your resume is ATS-readable
- Copy all the text from your PDF and paste it into Notepad. If the order is jumbled or text is missing, the ATS may struggle too.
- Compare your resume against the job description and check that your main skills appear in both.
- Ask a friend in HR or recruitment to review it.
Frequently asked questions
Should I use PDF or Word for an ATS resume?
Both usually work if the PDF is text-based (created from Word or Google Docs, not scanned). If the job portal recommends a format, follow it.
Can I use a photo on my resume in India?
It isn’t required for most private jobs, and photos can confuse some ATS tools. Skip it unless the employer asks for one.
How long should my resume be?
One page for freshers and up to two pages for experienced professionals.
Do Naukri, LinkedIn and Indeed use ATS?
Job portals use matching and filtering technology, and many employers connect their own ATS to these portals. Keep your portal profile updated with the same keywords as your resume.
Is using AI to write a resume okay?
AI can help with structure and wording, but always edit it so the details are accurate and specific to you.
